BondsOnline is for licensed real estate agents and the tenancies they manage.  It is also available for private landlord organisations managing significant property portfolios.  It will soon be available for individual private landlords/lessors.

All licensed real estate agents undertaking property management services are automatically bound by the terms and conditions of use of the BondsOnline system. If you are a new agent you will need to complete a ‘User Registration Form’. You will also be expected to read the BondsOnline Terms and Conditions. The Direct Debit Request (DDR) Service Agreement governing the direct debit arrangements required for BondsOnline apply and is a part of the Terms and Conditions.

BondsOnline allows users to transact with the Bond Administrator online and gives real time access to:

  • view records and access reports for security bonds held by the Bond Administrator relevant to the user; and
  • lodge, vary and initiate disposals of security bonds.

FAQs

Who can use BondsOnline?

In accordance with regulation 7H of the Residential Tenancies Regulations 1989, all licensed real estate agents are required to complete their bond transactions using the BondsOnline eTransactions system.

The Bond Administrator will only accept paper forms from licensed real estate agents in prescribed exceptional circumstances and where the reason for the exceptional circumstance is provided at the time of lodging the form. 

Licensed real estate agents need to register to use BondsOnline eTransactions.

BondsOnline eTransactions is also available to private landlords and lessors who manage significant property portfolios. 

Tenants of organisations which use BondsOnline eTransactions have access to do tasks allocated to them by the landlord or property manager such as approve a lodgement, variation or disposal of a bond. Tenants need to have an email and a mobile phone number to be able to use BondsOnline eTransactions. 

How do I sign up / register for BondsOnline?

If you are a licensed real estate agent you can simply complete the licensed agent user registration form and return it to us by email

What are the benefits of BondsOnline?

eTransactions are fast, easy and secure. It can save you time and money because it replaces paper forms in most cases. An electronic system also means it is online, flexible and mobile.

What can I do on BondsOnline?

BondsOnline eTransactions allows tenancy bonds to be lodged, varied (bond increases, changes to tenants/lessors and agent transfers) and disposed online using your tenants mobile telephone number and email address in place of signed paper forms.

Key features of BondsOnline include, it:

  • is easy to search for bond and eTransaction details
  • generates lodgement, disposal and variation transactions
  • produces EFT and bonds record reports
  • allows different user access levels for auditing and separation of duties
  • is FREE, there is no cost involved

How do I lodge a bond?

A licensed agent will need to submit a bond lodgement for the new tenancy in the BondsOnline system and include tenant/s mobile and/or email information.  

The Bond Administrator will send the tenant an email with a link, to request a unique access code to their bond information.  

The tenant will be able to review the information to confirm it is correct and approve the lodgement or request changes (such as misspelt names, incorrect amount or dates).

Once approved by the tenant, the agent is able to complete the final payment process via direct debit. 

Both agent and tenant then receive an email confirmation from the Bond Administrator.

How do I vary parties to a bond?

Agents can vary parties to a bond by accessing the bond in the agent’s BondsOnline system and requesting variation.

The variation form will be automatically populated with some details and the agent should select party changes from the tick box options available (options – lessor, tenant or bond money increase) complete the remaining mandatory fields, confirm the details and submit.

The Bond Administrator will send the outgoing and incoming tenant/s an email with a link, to request a unique access code to their bond information.

The tenants will be able to review the information to confirm it is correct and either approve the variation or request a change (such as misspelt names or wrong parties).

A Record of Variation will be emailed to each party.

How do I increase the bond money held?

Agents can increase the bond amount by accessing the bond in the agent’s BondsOnline system and requesting variation. The same form is used as for party changes but the bond money increase option would be selected.

The agent would complete the form, confirm the details and submit the application. Once the eTransaction is generated the agent would be notified by email to complete the final payment approval via direct debit.

The tenant does not need to confirm any details.

A Record of Variation will be generated and emailed to each party when the payment has cleared in our system.

How do I dispose of the bond money held?

The agent can arrange disposal of the bond by accessing the bond in the agent’s BondsOnline system and requesting disposal.

The agent would complete the mandatory fields including the money amounts to be disbursed to each party, confirm the details and submit the application. Once the eTransaction is generated the agent would be notified by email to complete the final payment approval. 

After the payment has been approved, the Bond Administrator will send each tenant an email with a link, to request a unique access code to their bond information. The tenants will be able to review the information to confirm it is correct, complete their bank account details and forwarding address and either approve the disposal or request a change (such as wrong amounts).

Once approved by the tenant and the agent the application will be processed and if received prior to 2pm on any business day the funds should reflect in the nominated bank accounts within 24-48 business hours.

Does BondsOnline have reporting capabilities?

Yes. The agent has instant access to print several detailed reports including daily EFT payment reports and active bonds.

What do you do with my personal information?

Personal information collected by the Bond Administrator is securely stored and only handled by a duly authorised officer. We may also collect use and exchange your information where permitted or required by law.  Details of management of personal information page has more information.
